Snapclarity is committed to protecting your privacy. In order to best protect personal health information, Snapclarity first aims to store very little client data, and when it does, this data is stored in Canada and it is encrypted.
We partnered with Microsoft Azure to make sure your information stays secured 24/7. Microsoft has a wide array of security tools and capabilities which help create a secure solution and have the proper confidentiality, integrity and transparency. We want to make sure clients feel comfortable and safe with their therapist.
Azure uses industry-standard protocols to encrypt data in transit. Your data (files, communications, drives, and more) is kept highly secure as it moves between devices and Microsoft datacenters, and when your data is at rest in Azure Storage.
Microsoft Azure also supports multiple encryption mechanisms including SSL/TLS, IPsec, and AES. Your data may not be accessed by any unauthorized parties and explicit permission is granted on a "just-in-time" basis that is logged and audited, then revoked after completion of the engagement.
With the help of Microsoft Azure, our platform runs firewalls, anti-malware, intrusion detection and prevention systems. Your data is encrypted and will never be shared with anyone without your consent.
Storage of client information
We can think about storage of client information by Snapclarity and its therapists in four different ways.
- Client data collection and storage related to the running of therapists' own private practice
Because Snapclarity stores very little data, during their initial interactions with clients, therapists will collect information they normally collect from clients during intake sessions, which includes clients' full name, DOB, contact information, and emergency contact information. Also similar to any private practice, they will be responsible for their own record keeping and storage in accordance with regulatory college standards. This typically includes storing client data for 10 years, keeping hard copies stored in a locked room with a locked file, and encrypting and password protecting electronic data.
- Client data collection and storage related to the Snapclarity assessment.
All clients complete an initial intake assessment in order to determine their level of risk for various mental health difficulties. Assessment data is stored alongside the clients’ email address and is protected by Microsoft Azure. Assessment data are kept for various reasons, including the ability for therapists and their clients to see how they are doing over time. Snapclarity is also interested in this data in its aggregate form to assess whether clients who are using the platform are actually getting better. Snapclarity believes in mental health provision being accountable and this includes collecting good data. Data stored by Microsoft Azure, is encrypted, stored in Canada, and has very low risk of disclosure and identification of individual patient data.
- Client data collection and storage related to client payment for services
Client names and payment information is not stored by Snapclarity, rather this is stored by Stripe, a payment platform embedded in the Snapclarity platform. Because this data is stored by Stripe, it is not linked or attached to other patient data, such as the assessment results.
- Client data collection and storage related to the video and text interactions between you and your clients.
No videos between therapists and clients is stored. On the other hand, text interactions between therapists and clients are stored for 7 days and then deleted. The purpose of this is to allow you and your clients the ability to review what has been discussed in their recent interactions. In addition, the Snapclarity platform itself requires that both therapists and their clients sign into the platform using their own personal and unique password, thus, it is highly unlikely that others would gain access to their platform.
